Hire Terms & Conditions

These Hire Terms & Conditions apply to all hire orders placed with Boho Parasol Hut Ltd.

By placing a hire order, paying a deposit or balance, or accepting delivery of hire goods, you confirm that you have read, understood and agreed to these terms in full.


1. Ownership of Hire Goods

All hire goods remain the property of Boho Parasol Hut Ltd at all times.


2. Hire Period

The hire period commences from the time of delivery and ends upon collection of the hire goods.

Hire periods are based on delivery and collection dates. A typical weekend hire runs from Friday delivery to Monday collection.


3. Customer Responsibility & Care

Throughout the hire period, the customer is fully responsible for:

  • The safekeeping of the hire goods
  • Keeping the hire goods in a reasonable condition
  • Ensuring the goods are used safely and appropriately

The customer will be liable for any damage beyond reasonable wear and tear.


4. Damage, Loss & Repairs

Any damage beyond reasonable wear and tear may result in charges, including:

  • Cleaning
  • Repair
  • Refurbishment
  • Replacement (where necessary)

Charges may be deducted from the security deposit.

In the event of total loss or irreparable damage, the security deposit will be retained in full.


5. Missing Components, Cleaning & Additional Charges

All hire items must be returned complete, clean, and in a condition ready for immediate re-hire.

Missing Components

Customers are responsible for returning all parts and components supplied as part of the hire.

Where items are returned incomplete, charges will apply. These charges reflect not only the replacement cost of the item, but also the operational impact, including loss of hire availability and additional handling.

Examples of charges (non-exhaustive and applied at our discretion):

  • Centre hinge screw (parasol connection screw): £25
  • Base water plug: £25
  • Base securing screws: £25
  • Bottom parasol pole: £50
  • Any other missing component: charged at replacement cost plus associated handling and disruption costs

If missing items are returned late or separately, we reserve the right to apply additional charges where this impacts subsequent bookings.

Items not returned in full at the agreed return time may be treated as incomplete returns until all components are received.


Cleaning & Condition

All items must be returned clean and ready for immediate re-use.

If items are returned in an unacceptable condition, a cleaning fee of £50 per item may be applied.

This includes (but is not limited to):

  • Bird droppings
  • Mud, grass or ground staining
  • Food or drink spills
  • Confetti, sprays or residue
  • Decorations attached (e.g. bunting, pom-poms, ribbons)

Customers are responsible for removing all decorations and cleaning items prior to return.


Wet Returns

Due to the nature of the products, items may be exposed to moisture.

Customers must:

  • Dry items as thoroughly as possible before return
  • Notify us in advance if items are being returned wet

Failure to notify us may result in additional charges due to the risk of mould, mildew, or stock damage.


Packaging & Return Responsibility

All items must be returned:

  • In their original packaging
  • Securely packed and suitable for transit
  • Properly sealed to prevent loss or damage

Customers may be asked to provide photographic evidence of packing.

If items are lost or damaged due to insufficient packaging, the customer will be held responsible.


6. Weather & Water Exposure

Due to the nature of the products, hire goods may be exposed to moisture.

Customers are expected to:

  • Avoid heavy or prolonged rain where possible
  • Dry items thoroughly before return

Failure to return items dry and in suitable condition, or failure to notify us of water exposure, may result in additional charges.


7. Health, Safety & Proper Use

All hire goods must be used strictly in accordance with our Care & Safety Guide and any instructions provided.

The customer confirms that they:

  • Have read and understood the Care & Safety Guide
  • Accept responsibility for ensuring safe use at all times

Hire goods must:

  • Be used only for their intended purpose
  • Be securely installed before use, including correct use of bases or ground fixings
  • Be supervised at all times while in use

8. Wind & Unsafe Conditions

Hire goods must not be used in windy or unsafe conditions.

It is the customer’s responsibility to:

  • Monitor weather conditions
  • Close, secure or remove hire goods when conditions are unsuitable

Boho Parasol Hut Ltd accepts no responsibility for injury, loss or damage arising from use in unsafe conditions.


9. Installation & Suitability

The customer is responsible for ensuring all hire goods are suitable for their intended use and environment.

All items must be:

  • Fully and securely erected
  • Appropriately weighted or fixed
  • Used on stable and suitable ground

Hire goods must not be used:

  • In high winds or adverse weather
  • On uneven or unstable ground
  • Without appropriate bases or fixings
  • Near open flames, heat sources or barbecues
  • For any purpose other than their intended use

10. Inspection on Delivery

Customers must inspect all hire goods upon delivery.

Any item that appears damaged, unsafe or unsuitable must not be used, and must be reported to us immediately.


11. Injury & Liability Disclaimer

Hire goods are used entirely at the customer’s own risk.

To the fullest extent permitted by law, Boho Parasol Hut Ltd shall not be liable for any injury, loss, damage or claim arising from:

  • Incorrect installation or securing
  • Failure to follow care, safety or usage guidance
  • Use during unsuitable weather conditions
  • Misuse, neglect or unauthorised modification
  • Actions of third parties, guests or event attendees

If collection is delayed, the customer remains responsible for the safekeeping of the hire goods.


13. Delivery, Access & Courier Responsibility

Customers must:

  • Provide adequate access for delivery and collection
  • Ensure someone is available to accept delivery where required
  • Ensure goods are available for collection at the agreed time

We accept no responsibility if delivery or collection fails due to customer unavailability or access issues.


14. Packaging & Returns

All items must be returned:

  • In their original packaging
  • Securely packed and suitable for transit
  • In a dry and reusable condition

Packaging must be stored appropriately and protected from damage.

Failure to return items correctly packaged may result in additional charges.


15. Charges, Payments & Booking Confirmation

All hire charges are quoted per agreed hire period.

No refunds or reductions will be made once the hire period has commenced.

Deposit & Booking Confirmation

A 50% deposit is required at the time of booking to secure your hire.

Bookings are not confirmed until the deposit has been received.

Deposits are non-refundable in the event of cancellation.

Balance, Delivery & Security Deposit

The following are due 7 days prior to the hire start date:

  • Remaining 50% balance of the hire fee
  • Delivery and collection charges
  • A refundable security deposit of £100 per parasol

Failure to Pay

If the balance, delivery charges or security deposit are not received in full by the due date:

  • We reserve the right to cancel the booking
  • The deposit will be retained

16. Security Deposit

The security deposit is payable 7 days prior to the hire start date.

Refunds:

  • Issued 5–10 working days after goods are returned and inspected
  • Typically 7–12 working days after collection if using our service

Customers arranging their own return must use a tracked and insured service.


17. Late Returns

Hire goods must be returned on time.

Late returns may incur additional hire charges at our discretion.


18. Availability & Substitution

All hire bookings are subject to availability.

Where items become unavailable due to circumstances beyond our control, we will:

  • Offer a suitable alternative; or
  • Provide a refund for affected items

No further compensation will be payable.


19. Early Returns

No refunds will be issued for hire goods returned before the agreed end date.


20. Branding

Some hire goods may be branded with our company logo.

Any attempt to remove branding will be treated as damage and charged accordingly.


21. Acceptance of Terms

Payment of any deposit, balance or hire charge constitutes full acceptance of these Hire Terms & Conditions.


22. VAT

Boho Parasol Hut Ltd is VAT registered.
